What does ServiceTitan actually cost a small HVAC company?
Last updated 2026-11-05
The short answer
ServiceTitan does not publish its prices. As of October 2026 its pricing page lists three per-technician packages — Starter, Essentials and The Works — each behind a Request Pricing button. The most widely repeated third-party estimates put it at roughly $245 to $500 per technician per month, plus an implementation project estimated in the thousands.
Read those numbers carefully, though. Every figure in this article is either ServiceTitan's own public statement about *how* it prices, or somebody's estimate. Most of the estimates come from companies selling competing software.
What ServiceTitan publishes, and what it withholds
| Published | Withheld |
|---|---|
| That pricing is per technician | The actual per-tech rate |
| The three package names and their included features | Any monthly or annual figure |
| The list of separately sold Pro products | What those products cost |
| That a contract is required | The contract terms, before you sign |
The structural fact matters more than any estimate: the price scales with headcount. Every technician you hire adds a seat. That is the opposite of a flat platform fee, and it changes what "affordable" means as the business grows.
The estimates, and where they come from
| Line item | Estimate | Basis |
|---|---|---|
| Starter | $245 to $300 per tech per month | Third-party analysis |
| Essentials | $300 to $400 per tech per month | Third-party analysis |
| The Works | $400 to $500 per tech per month | Third-party analysis |
| Implementation | $5,000 to $50,000+, 2 to 12 month rollout | Third-party analysis |
| Marketing Pro add-on | around $2,000+ per month | Third-party analysis |
| Renewal increase | around 15 to 20% reported by users | Contractor reports |
These are compiled by competitors of ServiceTitan — Fieldproxy's pricing analysis cites G2, Capterra, BBB filings and contractor forum reports, and labels them estimates throughout. FieldCamp's analysis gives a similar range for a 10-technician company on Essentials: $3,000 to $4,000 per month, about $51,000 to $63,000 in year one including roughly $15,000 of implementation.
Treat a competitor's pricing page as a lead, not a fact. It is directionally useful and it is still a sales document.
What a small shop should actually budget
Using the estimates, and rounding:
| Team size | Monthly subscription estimate | Notes |
|---|---|---|
| 2 technicians | $490 to $1,000 | Below the tier vendors target |
| 3 technicians | $735 to $1,500 | Implementation likely dominates year one |
| 5 technicians | $1,225 to $2,500 | The point where the maths starts to work |
| 10 technicians | $2,450 to $5,000 | Plus add-ons and implementation |
The reason the estimate ranges are so wide is that nobody outside ServiceTitan's sales team knows your number. Two similar shops can be quoted very differently depending on term length, add-ons and how the deal was negotiated.
The contract terms that cost more than the subscription
This is the part a small HVAC company is least prepared for.
The early termination fee is the full remaining balance. Not a fixed penalty, not a percentage — the money you would have paid anyway. Complaint filings with the Better Business Bureau document demands of $67,230 on a 24-month contract, $32,160, and $16,121 — the last being exactly seven remaining months at $2,303 per month. Those figures are second-hand, summarised by a competitor from BBB records; verify anything you rely on directly with the BBB.
Terms are 12 months standard, with 24 and 36 month terms commonly offered for a discount. Missing the notice window before auto-renewal starts a new term at full price, and notice is commonly due 30 to 60 days before renewal.
There is no free trial. Demo only. Which means there is no low-cost exit early in a term if the system does not fit your work.
ServiceTitan's own terms of use state that if you are dissatisfied, your "sole and exclusive remedy is to discontinue use of the Service", and require a written Notice of Dispute by certified mail before arbitration. Read that as: everything in writing, sent in a way you can prove.
What to ask for, in writing, before you sign
- The per-technician rate for each package, in dollars
- The minimum term, and the exact renewal date
- The notice period required to avoid auto-renewal
- The renewal uplift you should expect
- Which Pro products are included and which are quoted separately
- Implementation cost, duration and named deliverables
- Whether the data export is self-service and what formats it supports
Get those in an email before the contract, not in a call after it.
FAQ
Is ServiceTitan a bad choice for a small HVAC company?
Not bad — mismatched. It is built for larger residential shops with call centres and membership programmes, and it is strong there. Below roughly fifteen technicians, the per-tech price plus an implementation project is hard to justify against tools that publish a flat monthly fee.
Why won't ServiceTitan tell me the price up front?
Quote-based pricing is normal for enterprise software and it is not inherently sinister, but it shifts the information asymmetry to the salesperson. You cannot comparison-shop a number you have not been given. The practical defence is to ask for per-tech rate, term and renewal terms in writing and compare those across vendors.
Can I get out at the end of the first year?
Yes, and that is the cheapest exit. Find your renewal date and count back past the notice period. Cancel inside the renewal window and it costs nothing; miss it and another full term begins.
Do the estimates in this article apply to me?
Probably not precisely. They are third-party figures, most of them from competitors, aggregated across different shop sizes and add-on mixes. Use them to decide whether to take the demo at all, not to predict your invoice.
